What we can gather

The information your technician wishes they had on the way

  • Photos and video
  • Make, model and serial numbers
  • Error codes
  • Customer-described symptoms
  • Relevant measurements
  • Access and location information
  • What has already been tried
  • Other details requested by your business

SOFF then organizes the information into a structured SOFF Service Brief for your team.

Your customer stays yours.

SOFF does not take over your repair or service relationship.

Your business remains responsible for technical diagnosis, quotation, workmanship, repair decisions and the customer relationship.

Why providers use it

Better information before dispatch

A technician visit can be expensive in time, travel and scheduling capacity.

Before you travel

  • Understand the request before travelling
  • Identify missing information earlier
  • Arrive better prepared

Before you schedule

  • Determine whether a particular technician, part or tool may be required
  • Reduce avoidable travel where possible

Across the business

  • Improve customer communication
  • Create a more consistent intake process

SOFF is not trying to replace your technician. Our goal is to help your technician start with better information.

How it works

Five steps, and your team keeps the decision

You refer your customer to SOFF

You send the customer your dedicated SOFF assessment link, referral code or contact instructions.

SOFF gathers the information

Our team collects the information requested for that service category.

Depending on the situation, this may include photographs, video, model numbers, serial numbers, error codes, measurements, symptoms and access details.

We follow up where information is missing

If key information has not been provided, SOFF can request the missing details before completing the assessment.

SOFF prepares the Service Brief

The information is organized into a consistent, easy-to-review format.

Your team decides the next step

Your business remains responsible for technical diagnosis, quotation, repair, site attendance and service decisions.

Where a Standard Assessment is not the right tool

Two other options, used only when they fit

Neither of these is a premium version of the Standard Assessment. Each answers a different question.

Enhanced live / video assessment

Scope

What SOFF Remote Assessment is — and is not

Remote Assessment can

  • Collect customer-provided information
  • Organize photos, video and relevant details
  • Ask structured follow-up questions
  • Identify missing information
  • Prepare a Service Brief
  • Help determine an appropriate service pathway
  • Help the provider prepare for the next step

It does not automatically replace

  • Licensed inspection
  • Professional technical diagnosis
  • Emergency service
  • Regulated trade work
  • On-site investigation where required
  • Engineering, structural, gas, electrical or other professional judgment where a qualified professional is required

Safety boundary. If the information suggests an immediate safety concern, the customer may be advised to stop using the equipment or area and contact the appropriate emergency, utility, licensed or local professional service. A Standard Remote Assessment does not make an unsafe situation safe.

SOFF Service Brief

  • Customer / job reference
  • Service category
  • Item / property involved
  • Make / model / serial number
  • Customer-described symptoms
  • Photos / videos supplied
  • Relevant measurements / details
  • What has already been tried
  • Access / scheduling information
  • Safety / urgency flags
  • Missing or unanswered information
  • Suggested next step / service path

The service provider remains responsible for technical diagnosis, quotation, repair decisions, workmanship, warranty and any licence-required work.

What your team receives

One consistent format, every time

The same headings arrive in the same order for every job, so a dispatcher can scan a brief in seconds rather than reading back through a thread of messages.

Where information is missing, the brief says so explicitly rather than leaving a gap your technician discovers on site.

Provider-specific templates

Your intake process can become more useful over time

Different service providers need different information. SOFF can gradually build provider-specific templates so your team receives what is most useful to your business.

Appliance repair

  • Make / model / serial number
  • Error code
  • Symptoms
  • Age of appliance
  • Photos and video
  • What happens during the operating cycle

HVAC

  • Equipment type
  • Make / model where available
  • Thermostat information
  • Symptoms and error indicators
  • Photos
  • Customer-described conditions

Computer & electronics

  • Brand / model
  • Operating system / device type
  • Symptoms
  • Error messages
  • Photos and video
  • What changed before the issue started

Plumbing

  • Location of issue
  • Visible leak / blockage information
  • Photographs and video
  • Fixture type
  • Urgency
  • Accessible shut-off information where relevant

SOFF gathers information. It does not give customers unsafe or licence-sensitive technical instructions.

Provider questions

Remote Assessment FAQ

Does my business have to join the SOFF Service Provider Network?

No. A service business may use SOFF Remote Assessment for its own customers without joining the broader SOFF provider network.

Does SOFF take over my customer?

No. The customer remains your customer. SOFF’s role is to provide the agreed Remote Assessment and information-gathering service.

Does SOFF diagnose the problem?

A Standard Remote Assessment primarily gathers and organizes useful information and helps identify an appropriate service pathway. It does not replace a professional technical diagnosis, licensed inspection or regulated service where one is required.

Who performs the actual repair or service?

Your business, or the customer’s chosen service provider. SOFF does not perform the underlying repair merely because it completed the Remote Assessment.

Can SOFF customize what information is collected?

Yes. For providers using the service regularly, SOFF can work toward a provider-specific assessment template based on the information your team finds most useful.

What happens after the first 3 assessments?

The first 3 Standard Remote Assessments are offered at 50% of the regular rate as a provider pilot. After the pilot you may continue at the regular rate, or discuss volume pricing if your business expects regular usage.

There is no long-term commitment simply because you completed the pilot.
